After a long, cold winter, spring has finally arrived, which means the outdoor events season is upon us. Here in Texas, we love outdoor socializing, but what no one likes is working up an ugly sweat from the car door to the event door.

Offering valet parking services for your guests can turn an already great party into an exceptionally great party. In order to ensure the best possible experience with your valet parking service, consider the following tips.

Fully Licensed and Insured Valet Parking Service
Before hiring a parking service ask to see the company’s license and insurance binder -- check to ensure the dates are all current. You may want to make a courtesy call to your neighbors.  People rarely mind if cars are parked in front of their homes, but they do appreciate an advanced notice.

Guest to Parking Attendant Ratio
While there is no exact science, if parking is available directly in front of the event, one parking attendant for every 50 guests is usually sufficient. Be sure to discuss the parking details with your valet parking service and notify the company should your guest count exceed your original expectations. 

Formal Event Parking Versus Casual Event Parking
Formal events such as weddings, galas, dinners, etc. have a specific start time, which means your guests will all arrive all at once. Casual events such as open houses, corporate family day socials, reunions, etc. tend to be more “come and go.” If your event has a specific start and end time, this information should be disclosed to yourv valet parking service company as they will need to schedule sufficient attendants during those peak hours.

If You Want the Best, Don’t Hire the Cheapest
The old adage, “You get what you pay for,” is usually true and the valet parking industry is certainly no different.Valet parking companies all charge differently -- some by the hour, some by the attendant, some by the job.

Coordinating wedding transportation may not be the very first thing on your wedding-planning list, but it is essential. The Knot, an online wedding hub, provides a helpful that is sure to put you on the road to marital bliss.

Budget

Know your buying power to make it easier to choose the appropriate services and proceed with your plan. Figure $50-$75 per hour per car (depending on transportation mode) and $20-$25 per hour per valet for parking service. Be sure to factor in tips -- about 15-20% of the bill (often added to your total in advance).

Who Pays?

Contemporary grooms are generally expected to take charge of transportation arrangements. Traditionally, the bride's family pays the wedding party's transportation needs (to ceremony, reception, and wherever the couple's going afterward), plus any parking expenses. The groom's family covers just the groom's and best man's ride to the ceremony. Depending on who is footing the bill for other wedding items, transportation and parking fees should be easy to split evenly between families.

Arrival, Departure, Family, and Wedding Party

Do you see yourself in a horse-drawn carriage or a lightning-white stretch limo?  A Pink Cadillac or matching skateboards?  Let this decision reflect your wedding’s overall style. In terms of other transportation needs for the family and attendants, compare prices as you shop around based on your number of participants.  One stretch limo might be cheaper than two town cars.

Valet Parking Needs

Depending on the number of guests, you may want to choose a full-service valet team. Four valets, plus a site manager generally can service 100 guests. Choose from these options:

  • Buses: 52-passenger capacity
  • Vans: 7-passenger capacity
  • Parking attendants only
  • Valet parking
